Job organizational context:

The position of Fundraising Assistant (Donation Processing) at the GS-6 level in the Malaysia Country Office, in the section of Private Sector Fundraising & Partnerships, reports to the Fundraising Officer (Donation Processing), who is at the NO-A level.

Purpose for the job:

UNICEF Malaysia has 120,000 regular pledge donors (2018) and the PSFR income reached USD18 million in 2018. This post is responsible to ensure accuracy and timeliness in the day today management of donation processing; data analysis and working together with the Customer Service Associate to maximize payment approvals and reporting.


Summary of key functions/accountabilities:

  1. Ensure the integrity of data at all times by
    1. Maintaining integrity of donor and donation payment data.
    2. Managing import and export of donor data with various outsourced party/ies.
    3. Managing data entry of donor profiles and donations from various sources.
  1. Lead UNICEF's donation processing function
  1. Manage processing of Gifts donation transactions through various payment channels.
  2. Manage Pledge donation processing with the aim of delivering highest approval rates possible.
  3. Assist in reconciling income recorded in donor database after confirmation from Finance.
  1. Work closely with Customer Service Assistant
  1. To ensure data integrity.
  2. To fix failed Gift and Pledge payment.
  1. Work closely with Customer Service Assistant and Database Management Assistant for other matters that may arise
  1. For the fulfillment of donations processing.
  2. Weekly, Monthly, Yearly reports.
  1. Perform other reasonably related duties as assigned by Fundraising Specialist, Donor Management

Impact of Results

Poor donation processing and Inaccurate donation processing will result in the following:

  1. Lost income
  2. Donor losses credibility in the organisation.
  3. Negative public perception.
  4. Data corruption.
  5. Inaccurate reporting.

Recruitment Qualifications

  • Completion of secondary education in combination with 6 years of relevant experience.
  • Diploma in either of the following areas: Business Administration, Marketing, Communications, Business Accounting is highly preferred
  • 3 years of leading a high-performance team of at least 5 headcounts and payment processing experience is highly desirable
  • Knowledge of Data Management will be an added advantage.
  • Fluency in English and Bahasa Malaysia is required.


  • The remuneration for the above position may be access through UN Salaries Website as follows: http://www.un.org/Depts/OHRM/salaries_allowances/salaries/malaysia.htm (subject to mandatory deductions for pension contributions and health insurance, as applicable) and other benefits including 30 days of annual leave, mobile allowance, and dependency allowances for dependent family members. 
  • Pension – staff members with six or more months of contract duration will be participants of the United Nations Joint Staff Pension Fund.     The pensionable remuneration, will be subject to a 7.9% deduction as a staff’s contribution.  The Organization pays a contribution equivalent to 15.8%  of  a staff’s  pensionable remuneration to the fund on his behalf.  On separation with less than five years of service, the staff’s contribution will be refunded with interest.  Website: www.unjspf.org
