In Ghana, UNICEF cooperates with the Government and other partners to defend the rights of children and help them fulfill their potential. With offices in Accra and Tamale, the UNICEF team seeks to achieve results in strategic programme areas. The overall goal is for every child to survive and thrive, to live in a safe and clean environment, to learn, to be protected from violence and exploitation, and to have an equitable chance in life. The current Country Programme of cooperation is aligned with the Government priorities, the UN Sustainable Development Partnership (UNSDP) and Key Results for Children (KRCs) in the West and Central African Region (immunization, nutrition, learning outcomes, ending child marriage and ending open defecation). UNICEF main strategies include evidence-based advocacy, system strengthening, integrated programming across sectors, emergency preparedness and response, and innovation.

How can you make a difference? 

As a Senior Operation Associate, the incumbent will be responsible for the operations functions, facilitate change, provide risk informed, solution-focused analysis, advice and services and contribute to programme and management decisions for delivering results for children in specific operational contexts

Key functions/accountabilities:

1. Prepares correspondence as required in accordance with standard office procedures, classifies and codes material relating to several subject matter areas, and maintains general office files. Arranges appointments and maintain the office and supervisor’s calendar, receiving high ranking visitors and supporting the coordination of field missions, organizes meetings including taking responsibility for finalization of the meeting agenda, invitations, the production and distribution of documentation, and preparation of minutes of meetings. May be required to support logistical arrangements for official travel and for workshops or meetings outside the office, and distribute meeting reports and information and ensure follow-up on required action.

2. Coordinates and oversees several Operations functions, such as Business Continuity, and Enterprise Risk Management, and provides support in keeping

track on audit follow up actions, initiating follow-up action with respective focal points and preparing draft progress report for supervisor’s review.

3. Assist in the preparation of key financial reports, management reports and relevant office management plans. This will include, but not limited to, monthly analysis reports on office management indicators, contributing to the preparation of progress reports by consolidating, providing and preparing financial data, assisting in the preparation of budget and financial forecast and support in the preparation of other reports and office plans (including Country Programme Management Plans, Annual Management Plans, annual reports and any other relevant report or documentation as may be required)

4. Maintains financial records and monitoring systems to record and reconcile expenditures, balances, payments, statements and other data for day-to-day transactions and reports. Prepare recurring reports as scheduled and special reports, as required for budget preparation, audits or other reasons. Close year-end accounts and assist in the preparation of year-end reports related to accounts receivable, accounts payable, prepayment, deposits, and leave balances, etc.

5. Ensures financial compliance, accuracy and completeness of data for its inclusion into statement of accounts and adjustment of budgets. Advise units of discrepancies and assist to resolve differences in their records. Prepares detailed cost estimates, and participates in budget analysis and projects, as required. Creates and maintains data in VISION for suppliers, partners and consultants.

To qualify as an advocate for every child you will have…

Minimum requirements:

  • Education: Completion of secondary education is required, along with formal training in a financial management discipline (e.g. accounting, audit and/or budget management). Knowledge of IPSAS and ERP/SAP highly desirable
  • Work Experience: At least 7 years of relevant work experience in finance, accounting, office management, administration, human resources, supply or other relevant function is required 
  • Language Requirements: Fluency in English and a local language is required. Knowledge of another official UN language is an asset.

Desirable:

  • Relevant experience in a UN system agency or organization is considered as an asset.

UNICEF appointments are subject to medical clearance.  Issuance of a visa by the host country of the duty station is required for IP positions and will be facilitated by UNICEF.
