How can you make a difference? 

The intern will work under the supervision and guidance of the supervisor, the Administrative Assistant is responsible for executing a broad variety of routine tasks and some specialized for the respective section, requiring thorough knowledge of UNICEF administrative procedures, processes and policies:

Travel

  • Provides travel assistance to staff members in section for travel arrangements and entitlements based on the organization’s rules and policies. Liaises with relevant travel focal points to ensure that the organization obtains the best service and price for all travel.
  • Drafts note verbal and/or letters related to all travel documents such as visa requests and renewal, diplomatic ID cards and eUNLP application and submitted to relevant partners (Ministry of Foreign Affairs, Embassies, etc) and UNICEF Travel Unit in Headquarter.
  • Liaises with concerned section and/or External Communication Section to provide protocol support for VIP and delegations’ visit such as VIP lounge, visa, accommodation and transportation support. 
  • Briefs/de-briefs staff members on issues relating to related administrative matters such as visas, security clearance, and documentation procedures. 
  • Extracts, inputs, maintains, and verifies correctness of travel records in the organization’s travel system to ensure accurate transactions related to travel costs and staff travel.
  • Assists in the preparation of budgets on travel costs and maintain travel plan and budgetary control records.
  • Monitors travel certification and report back to the team.

Events/Logistics

  • Supports capacity development activities and conferences by making the logistical arrangements, through engaging with facilitators, caterers and hosts.
  • Arranges times through liaising with participants over availability.
  • Liaises with budget focal points and section over costs and needs.
  • Prepares background materials for participants and uploads cleared materials on the intranet.
  • Prepares and maintains agendas on meetings and events related to the work group commitments.

Carry out other assignments as requested by the supervisor.

To qualify as an advocate for every child you will have… 

  • Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
  • Strong knowledge of Microsoft Office is the basic requirement.
  • Have no immediate relatives (e.g. father, mother, brother, sister) working in any UNICEF office; and have no other relatives in the line of authority that the intern will report to​​​​​;
  • Proficiency in English and Khmer (written and spoken):
  • Good communication and analytical skills;
  • Well organized and structured approach with attention to details and deadlines;
  • Strong commitment and passion for UNICEF’s mission and value.

The intern should be:

  • Sensitive to child rights and child safeguarding principles; and
  • Sensitive to a multi-culture environment.

Availability:

  • Desired period from 4 months, Mon - Fri (full time- 5 days per week).
  • Flexible working arrangements

Conditions of the Internship:

  • National interns who are not in receipt of financial support from any sources will be provided by UNICEF with a USD 300 stipend per month during the internship and one-time reimbursement of other costs (insurance) up to USD 100.
  • UNICEF will cover the cost for field trips if such are needed during the assignment and provide a laptop and access to telephone (landline), printer, and other necessary equipment required for the assignment.

Conditions of the Internship:

All interns must abide by UN code of conduct, including prevention of sexual exploitation and abuse.

Remarks:  

UNICEF appointments are subject to medical clearance. Issuance of a visa by the host country of the duty station, which will be facilitated by UNICEF, is required for IP positions. Appointments may also be subject to inoculation (vaccination) requirements, including against SARS-CoV-2 (Covid). Government employees that are considered for employment with UNICEF are normally required to resign from their government before taking up an assignment with UNICEF. UNICEF reserves the right to withdraw an offer of appointment, without compensation, if a visa or medical clearance is not obtained, or necessary inoculation requirements are not met, within a reasonable period for any reason.
