How can you make a difference?
Under the supervision of the Chief of Field Office in Manaus, the Programme Assistant will be carrying out a range of procedural, administrative, and operational tasks, to help develop, implement and monitor the country programme, ensuring timely and effective delivery that is consistent with UNICEF rules and regulations.
The main functions/accountabilities are:
- Facilitate processing of contracts for consultants, vendors and partners, including document preparation, SAP/VISION transactions, and logistical arrangements.
- Maintain up-to-date vendor lists, partner databases and consultant rosters.
- Collect, review and process invoices in VISION, ensuring proper documentation and approvals.
- Prepare and maintain records, documentation and control tools for programme implementation and financial monitoring.
- Support processing of Implementing Partner documentation, including reports and fund transfer requests.
- Maintain programme planning and development records for assigned sections.
- Perform SAP (VISION) transactions, ensuring alignment with Annual Work Plans (AWPs) and updating records as needed.
- Provide logistical support for trainings, meetings and events, including coordination with participants, service providers and budget focal points, and preparation of materials.
- Support management of office supplies and equipment.
- Provide administrative and operational support for office relocation, repairs and construction activities.
- Track and follow up on premises-related works, maintaining timelines, documentation and correspondence.
- Liaise with Operations, vendors and service providers on maintenance, security, cleaning and utilities.
- Assist with office relocation logistics, including inventory tracking and coordination of service providers.
- Support monitoring of health and safety during office works and escalate risks or delays.
- Ensure continuity of office operations during transitions and premises-related activities in line with organizational policies.
- Maintain office calendar, organize meetings, and manage correspondence; take and file meeting minutes.
- Provide travel support to staff, including arrangements and entitlements in line with policies, and liaise with travel focal points to ensure cost-effective services.
To qualify as a champion for every child you will have:
- Education: Completion of secondary education is required, preferably supplemented by technical or university courses related to the work of the organization.
- Experience: A minimum of five years of progressively responsible administrative or clerical work experience is required.
- Language - Fluency in Portuguese is required. Proficiency in English is required. Knowledge of Spanish will be considered an asset.
- Desirable knowledge and skills:
- Excel proficiency
- Previous experience with SAP systems is highly desirable
- Strong organizational, planning and prioritizing skills and abilities
- Communication skills to interact with a wide range of internal and external counterparts
- High sense of confidentiality, initiative and good judgment.
- Exposure or previous experience providing administrative or logistical support related to office relocation, premises management or facilities coordination is considered an asset.
