With over 850 indigenous languages, and one of the most ethnically diverse populations, widespread poverty and gender inequality make it hard for many children to realize their rights. In Papua New Guinea (PNG), UNICEF’s works effectively both ‘upstream’ (with governments) and ‘downstream’ (at the grassroots level) to carry out its mission through a programme of cooperation jointly developed with the government guides our work in the country.
How can you make a difference?
Main duties and responsibilities: General Administration
The Admin Communication Associate at this level performs a full range of procedural activities in support of the Child Protection Section to ensure effective administrative and communication support to the Child Protection team. The Administrative and Communication Associates is accountable for specialized support pertaining to the routine programme for the Child Protection Section. The Intern require thorough understanding of the areas of Child Protection that colleagues in the section are implementing in their areas of responsibility.
Activities include:
1. Communications & Workflow
- Providing first-level support in organizing logistics for events (e.g SRSG VAC Visit, International Children’s Day, Family Week, activities with PNG Council of Churches, CP programme Workshops meetings, workshops and training.
- Facilitates the communications and workflow of the Child Protection Section to enhance the efficiency and timeliness of operations and outputs between Child Protection and Communication Sections.
- Manages incoming and outgoing correspondence, e-mails and telephone calls with partners
- Follow up with partners in to organize activities, invitations, confirming participation in the events
- Communicates routine and some non-routine information pertaining to the work of the Child Protection team.
- Establishes and maintains the office filing and reference systems, both traditional and digital; and ensures they are up to date and accurate.
2. Events/Logistics
- Supports capacity development activities and conferences by making logistical arrangements, through engaging with facilitators, caterers and hosts.
- Arranges times through liaising with participants over availability.
- Liaises with budget focal points and section over costs and needs.
- Prepares background materials for participants and uploads clear materials on the intranet.
- Prepares and maintains agendas on meetings and events related to the work group commitments.
3. Calendar/Meetings/Correspondence Management
- Arranges meetings
- Take minutes of meetings, ensuring accuracy, attention to detail and coherence.
- Organize documentation when requested to work with the Communication Section.
4. Travel
- Provides travel assistance to staff members in section for travel arrangements and entitlements based on the organization’s rules and policies. Liaises with relevant travel focal points to ensure that the organization obtains the best service and price for all travel.
- Briefs/de-briefs staff members on issues relating to related administrative matters such as visas, security clearance, and documentation procedures.
- Extracts, inputs, maintains, and verifies correctness of travel records in the organization’s travel system to ensure accurate transactions related to travel costs and staff travel.
- Assists in the preparation of budgets on travel costs and maintain travel plan and budgetary control records.
- Monitors travel certification and report back to the team.
5. Supplies/Equipment
- Supports management of administrative supplies, office equipment, and updating inventory of items.
- Monitors and supervises adequate and appropriate use of supplies. Ensures that services and maintenance of premises are in accordance with organizational standards.
- Arranges for the purchase and timely distribution of office supplies.

Benefits to Intern:
70% of the net monthly salary of the GS level 3 step 1

Minimum Requirements:
Letter of verification from the college or university that the intern is currently enrolled in an undergraduate school and has completed at least two years of full-time studies at a university or equivalent institution towards the completion of an undergraduate degree (if the candidate is 18 years old, this replaces the two-year bachelor’s completion requirement); or, Graduate Degree Program (i.e., Master’s, PhD). It should also state the expected graduation date. Recent graduates are allowed until 2 years after degree completion.

• One letter of signed recommendation on letterhead or from professional email address

Eligibility
To be considered for an internship with UNICEF, applicants have to meet the following requirements:
- be enrolled in a degree programme in an undergraduate, or graduate school, or be a recent graduate
- be proficient in English
- to have strong academic performance as demonstrated by recent university or institution records or, if not available, a reference letter from an academic supervisor
- have no immediate relatives (e.g. father, mother, brother, sister) working in any UNICEF office
- have no other relatives in the line of authority which the intern will report to
- are not disqualified under the UNICEF Child Safeguarding Personnel Standards (DHR/STANDARDS/2019/001), or as amended.
