How can you make a difference?

UNICEF Laos is seeking an experienced and qualified Lao National to fill the position of Temporary Appointment for Administrative Assistant, post no.130852 at GS-5 level to be based in UNICEF Country Office in Vientiane, Lao PDR. the Administrative Assistant will be responsible for executing a broad variety of routine tasks and some specialized for the respective section, requiring thorough knowledge of UNICEF administrative procedures, processes and policies with following assigned tasks:

Administrative Support:

  • Process visa, UNLP, driving lincense, vehicle documents applications for office staff, dependents, and consultants, ensuring compliance with UN and local regulations.
  • Manage and update databases for national passports, UNLPs, visas, and ID cards.

Financial Management:

  • Manage petty cash and serve as the petty cash custodian for the office.
  • Process invoices, including collection, filing, approval, and UNICEF Financial System input.
  • Assist the operations section with financial documents like Payments, Sale Orders, Fund Commitments, and Fund Reservations.

Office Management:

  • Arrange and manage stationery supplies, maintaining inventory records and preparing annual replacement plans.
  • Maintain the store room and draft correspondence and reports.
  • Classify and file documents and circulate them as needed.

Logistical Support:

  • Arrange accommodations, meeting rooms, and high-level field trips.
  • Take minutes or notes at meetings and make hotel reservations for visitors.
  • Purchase and distribute office necessary supplies.
  • Provide logistical support for office and visitors.
  • Perform other duties as assigned by the supervisor.

The following minimum requirements:

Education: Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.

Work Experience: A minimum of 5 years of relevant administrative or clerical work experience is required.

Language Requirements: Fluency in English  and Lao is required. Knowledge of another UN language is considered as an asset.
