The Common Services Unit of the UNICEF Thailand Office (TCO) is seeking a consultant to provide support in wide range of tasks under travel management to travelers who are UNICEF staff, personnels and affiliates which includes but not limited to ticket arrangements, trip management and travel document preparation also advising appropriate alternatives to achieve above tasks through coordination with internal and external parties such as travelers, Embassies, MoFA and Immigrations bureau.

Under general supervision of contract’s manager, the consultant is responsible for managing and completing assigned cases based on client’s request on travel-rated matters. Case management may include but not limited to ticket quotes, quotes comparison, trip arrangement, travel document preparation and advising alternatives to ensure travelers and UNICEF make informed decision on trip arrangement under efficiency and effectiveness principle according to UNICEF rules and regulations applicable.
• Coordinate Travel Arrangements: Work closely with travel agents to facilitate fare quotations, flight reservations, and visa applications.
• Coordinate UNLP: Assist with submitting requests for UNLP issuance or cancellation.”
• Ensure Valid Travel Documentation: Thai Visa Authorization, Handle Thai resident permits and re-entry visas for UNICEF staff, their dependents, UNV, and consultants under the Thailand Country Office and EAP Regional Office, ensuring compliance with local laws and MoFA regulations.
• Assist with Travel Arrangements and Entitlements: Provide support to staff members for travel arrangements and entitlements according to the organization’s rules and policies. Liaise with relevant travel focal points to secure the best service and prices. Provide immediate support in urgent situations.
• Prepare Travel Budgets: Assist in reviewing travel cost budgets, verifying estimated costs, and checking information entered into spreadsheets for consistency with data in TA, ensuring the accuracy of travel costs posted in the system
• Assist with invoices: Review and ensure the accuracy of invoices for air tickets and photos.
• Support Programme Activities and Conferences: Coordinate logistical arrangements for programme activities and conferences by engaging with hosting sections, facilitators, caterers, and hosts.
• Maintain Travel Records: Keep up-to-date travel records, statistics, and relevant information for operation reports.
Deliverables:
• Month 1 – Submission of report on assigned cases for fare quotations and trip arrangement.
• Month 2 – Submission of report on assigned cases for flight reservation and visa arrangement
• Month 3 – Submission of report on assigned cases for valid travel document management
• Month 4 – Submission of report on assigned cases for travel entitlement and urgent cases
• Month 5 – Submission of report on assigned cases for budget preparation for system inputs
• Month 6 – Submission of report on assigned cases for Travel Authorization verification
• Month 7 – Submission of report on assigned cases for ticket cost analysis and verification
• Month 8 – Submission of report on assigned cases for coordination and logistical assistance in organizing programme activities.
• Month 9 – Submission of report on assigned cases for maintaining an up-to-date records.
Duration of Contract: 23.12.2024 – 23.09.2025

To qualify as an advocate for every child you will have…
- Minimum 10 years of experience in ticket reservations with UN approved airlines.
- Extensive experience in handling visa arrangement under complex requirement.
- Solid knowledge different type of visa and travel document required.
- Experience in working within UN system, Embassies, international non-profit organization.
- Proven records in successful managing travel arrangement including document for emergency.
- Highly Experience in working with government authorities on visa issues and travel document.
- Good track records in working with large group of clients in multi-cultural environments.

Their conditions of service will be governed by their contract and the General Conditions of Contracts for the Services of Consultants and Individual Contractors. Consultants and individual contractors are responsible for determining their tax liabilities and for the payment of any taxes and/or duties, in accordance with local or other applicable laws.
The selected candidate is solely responsible to ensure that the visa (applicable) and health insurance required to perform the duties of the contract are valid for the entire period of the contract. Selected candidates are subject to confirmation of fully-vaccinated status against SARS-CoV-2 (Covid-19) with a World Health Organization (WHO)-endorsed vaccine, which must be met prior to taking up the assignment. It does not apply to consultants who will work remotely and are not expected to work on or visit UNICEF premises, programme delivery locations or directly interact with communities UNICEF works with, nor to travel to perform functions for UNICEF for the duration of their consultancy contracts.
