UNICEF East Asia and Pacific Regional Office is seeking an individual consultant to provide knowledge management (KM) support to East Asia and Pacific Regional Office (EAPRO) Programme and Planning section.

Under the supervision of the Knowledge Management Specialist, the individual consultant will provide support to the regional office and country offices for the prioritization of KM approaches, support the improvement of the EAPRO digital workspace and enhance capacity of staff in the use of digital tools for knowledge management, and support the development and maintenance of internal systems.

The overall purpose of the consultancy is supporting the implementation of key priority areas of UNICEF global and regional knowledge management strategy, with a focus on digital support especially in the area of capacity building and knowledge sharing.


Work assignment, Expected deliverable and Delivery schedule:

  1. Direct support to the Regional Office (RO) and Country Offices (COs) in implementing effective KM approaches, customized according to their needs;
  • Coordinate the creation of internal and external knowledge management processes in the RO as well as the development of guidance and template materials; review country-specific knowledge management products and plans. Address 30-50 help desk requests/queries.
  • Update mapping of country offices and regional office KM plans and needs;
  • Provide support to the quarterly calls with the KM regional and country office networks to continue the implementation of the global and regional KM strategy and its approaches (3 calls)
     
  1. Support capacity building and promote the utilization of digital tools for KM to enhance efficiency by integrating good practices into day-to-day processes:
  • Deliver online capacity building trainings to RO and COs colleagues: 2 day-training to promote the utilization of digital workspace for KM (office 365/Sharepoint) and 1day training to enhance knowledge sharing;
  • Provide coordination and content support to the organization of bi-monthly knowledge sharing sessions/webinars.

  1. Enhance digital workplace tools to support effective KM in the office
  • Building on the existing work done in EAPRO and based on the KM needs of the office, the consultant will maintain and update the EAPRO internal digital sites, ensuring to take advantage of the full capabilities of the system to increase information managements in the office. Including designing of additional pages and maintain repositories as well as groups for the internal regional EAPRO site and planning site.
  • Provide guidance to country offices how to building internal knowledge hub, and utilize KM tools;
     
  1. Support knowledge dissemination and evidence generation
  • Coordinate and design the Regional Office monthly newsletter as per the set timeline;
  • Support the dissemination of knowledge on internal community of practice; 
  • Develop visualization as well as static graphic dashboards (on tools such as infogram) to be used in Drupal, SharePoint or other digital platforms, as well as on reports and presentations to increase the dissemination of evidence generation and analysis of children results in the region, amongst others. (15-20 visuals)
  • Coordinate updating the regional office repository of knowledge products.
  • Map COs work on KM through analysis of available materials (annual reports)
  • Support documentation of implementation of KM work in EAP region (3 Country Offices), including visuals

  1. Support the organization and documentation of EAPRO management meetings in order to capture the meeting contents, feedback and follow ups.
  • In-person support to the meetings on the development of the Regional Office Management Plan (ROMP 2026-2029) and the yearly Deputy Representatives (Programme and Operations) (DROPS).
  • Support the design and updating of related digital SharePoint pages and repositories.
  • Support in organizing participant’s inputs and interaction using platforms such as Mentimeter, Slido, Whiteboard, etc.
  • Support the documentation of the outcomes of the meetings, including participant’s feedback (ROMP); DROPs meeting report, with a clear summary of speakers’ presentations, discussions, and recommendations, including participant’s feedback.

Duration of Contract:    1 March 2025 – 31 August 2025
 

Duty Travel:  N/A. The post is based in Bangkok with reporting to UNICEF EAPRO. Continued in-person support once a week as well as for face-to-face meetings and events in Bangkok is expected for this assignment. 
 

To qualify as an advocate for every child you will have…

Academic Qualification:  Advanced university degree in social sciences, international development, education or other related field;

Work experience:

  • At least 3-5 years of work experience in knowledge management with very good understanding of the key elements of knowledge sharing and dissemination, including visual communication, digital tools and design, multimedia production.
  • Proven experience in managing web-based applications such as Microsoft Teams, online conferencing and knowledge management applications (SharePoint, website)
  • Demonstrated working experience with emerging visualization tools and technologies (e.g. Infogram and Canva, etc.)
  • Proven experiences in organizing international meetings, conferences, webinars, and trainings both online and in person;
  • Strong writing and communication skills in English and the aptitude to document competing messages and priorities with multiple audiences;
  • Working knowledge of databases visualization is an asset
  • Work independently as well as with a team in an international, multicultural, and interdisciplinary environment and establish harmonious and effective working relationships both within and outside the organization.
  • Experience in work environment of an international agency, UN, or international institutions is desirable; prior experience in UNICEF is an asset.

Specific experience relevant to requirement of the assignment:

  • Expert knowledge and expertise on using digital tools such as Microsoft 365 suits – SharePoint and Team Collaboration Software Tools - is required
  • Strong visualization skills on creating web visual content and designing ready for publishing is required.
